2. Information we collect

Enquiries

When you contact us by form, email, telephone or post, we may collect your name, email address, telephone number, the type of book you are interested in, timing or budget information you choose to provide, and the contents of your message.

Commissions and orders

If you decide to commission Booked Images, we may also need billing and delivery details, project requirements, correspondence, selected products or materials, and the photographs, captions or other content required to make your book. Payment-card details are handled by the agreed payment provider and are not collected through this public website.

Website use

Necessary technical information is processed to deliver and protect the website. Google Analytics also receives limited cookieless measurements of visits and successful enquiries before you choose or if you reject optional cookies. If you allow the relevant category, analytics or marketing services may receive additional website-usage information. See section 5 for details.

3. How and why we use personal information

We use personal information only where we have a lawful basis. Depending on the circumstances, this may be to:

• respond to your enquiry and take steps you request before entering into a contract;
• prepare, manage and deliver a commissioned book or related service;
• keep appropriate financial, project and business records;
• operate, secure and improve this website;
• send marketing that you have asked to receive, where consent is required; or
• comply with a legal obligation or pursue a legitimate business interest that does not override your rights.

You can withdraw marketing consent at any time by using the unsubscribe option in a message or contacting us.

4. Photographs and project files

Photographs and written material supplied for a commission are used to plan, design, produce and deliver the work you request. The agreed transfer method, production partners and practical retention period may vary by project and will be explained as part of the commission.

Please do not send confidential or sensitive images until Booked Images has confirmed the appropriate transfer method. Where material relates to other identifiable people, you are responsible for ensuring you are entitled to provide it for the commissioned purpose.

5. Cookies and website measurement

We use Google Analytics with Advanced Consent Mode, alongside optional Microsoft Clarity and Meta Pixel services. You can accept or reject optional cookies, or choose categories, using Cookie settings in the footer. Your choice is stored in this browser for up to 12 months. Rejecting optional cookies does not prevent you from browsing or sending an enquiry.

Necessary storage

We use browser storage to remember your privacy preferences. WordPress may also set strictly necessary cookies for administrators who sign in; these are not used to track public visitors.

Google Analytics and consent

The Google tag loads on public pages with analytics storage, advertising storage, advertising user data and advertising personalisation denied by default. Before you choose, or if you reject optional cookies, Google receives limited cookieless measurements of visits and successful enquiries. These requests can include the page address, referring page, time, browser information and consent state. Cookieless measurement still sends information to Google; it does not mean that no data is shared.

While analytics storage is denied, Google does not read or write analytics cookies. While advertising storage is denied, it does not read or write advertising cookies. We enable Google’s advertising-data redaction setting while advertising storage is denied. Allowing analytics enables Google Analytics cookies; allowing marketing grants the Google advertising settings. We send only the successful-enquiry event name and analytics destination, without your name, email, telephone number or message.

Microsoft Clarity

Clarity loads only after you allow analytics. It provides heatmaps and session recordings to help us understand website use and can set cookies such as _clck and _clsk. Enquiry forms and their contents are masked; we do not send enquiry details or identify visitors to Clarity. If marketing is also allowed, Clarity receives that advertising-storage consent.

Meta Pixel

Meta Pixel loads only after you allow marketing. It records page visits to help measure Facebook and Instagram advertising and can set cookies such as _fbp and _fbc. We do not send enquiry fields to Meta or enable automatic collection of form details.

Changing your choice

You can withdraw either category using Cookie settings. The page reloads to stop the withdrawn services and removes the optional first-party cookies it can access. Google continues limited cookieless measurement with the relevant settings denied. Cookies on a provider’s own domain can be managed through your browser settings.

6. Contact forms and email

The enquiry form asks for your agreement to Booked Images storing the information you submit so that we can respond. Submissions may be stored securely in WordPress and delivered to the Booked Images email account. Please avoid including unnecessary sensitive information in the message field.

7. Sharing information

We do not sell personal information. We may share only what is necessary with trusted suppliers who help us host, secure or operate the website; communicate with you; process payments; transfer files; or produce and deliver a commission. We may also disclose information where required by law or to establish or defend legal rights.

Some technology suppliers may process information outside the United Kingdom. Where this happens, we require an appropriate legal safeguard for the transfer.

8. Retention and security

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including project delivery, responding to enquiries, resolving concerns and meeting legal, accounting or reporting requirements. Different information therefore has different retention periods.

We use reasonable technical and organisational measures to protect the information in our care. No internet or storage system is completely secure, but access is limited to people and suppliers who need it for an authorised purpose.

9. Your rights

Depending on the circumstances, UK data-protection law may give you the right to:

• ask for a copy of personal information we hold about you;
• correct inaccurate or incomplete information;
• ask us to erase information;
• restrict or object to particular processing;
• receive information in a portable format; and
• withdraw consent at any time where processing relies on consent.

We review this policy when the website, our services or relevant requirements change. The date at the top of the page shows when this version was last updated.
